Set Up Guide

As the Exhibit Sponsorship Manager for your company, you'll want to begin here.

 

Exhibit Sponsorship Manager Responsible for:  managing exhibitors and setting pricing in the Exhibitors module	Within Stova Platform:   Set pricing and currency for Exhibitors Import and Invite Exhibitors to Portal Ensure Contact information is populated Market to Exhibitors and track orders Ensure exhibitor company knows how to use LR, and how to access leads post-event.
Exhibitor Coordinator Responsible for:  purchasing Lead Retrieval Licenses in the Portal, assigning licenses, content and surveys to devices	Within Exhibitor Portal:   Order LR Obtain info to get started Send out info to booth personnel Ensure booth staff have what they need to scan leads

Configure your Exhibitors Module

Begin by accessing your event in the Stova Platform. Then click to Activate the Exhibitors module for your event.

***PLEASE NOTE*** 

• The event name should be unique.
• In order for the exhibitor module to function correctly, this module must be activated and set up prior to the generation of your badges that include the appropriate QR code. 

A new “Exhibitors” section will appear. Select your currency, then click continue to proceed to pricing.

• You can set pricing but are responsible for amount agreed upon in your contract with Stova.
• The single license is required and must have a price added.
• You can also set early bird pricing, offer packages, give away free licenses to specific exhibitors (on Manage Exhibitors screen)
• * Once emails have been sent, you cannot adjust the pricing

After pricing has been determined move to the Manage Exhibitors tab.

Here you will create a test email. Note you can only add 3 Test Exhibitors per event.

Add or Import your Exhibitor List then use the tools on the page to:

• Send email invites to exhibitors (*be sure of pricing set, once emails are sent, pricing cannot be adjusted)
• Offer free licenses to particular exhibitor companies

Before moving on to the Event Contact Information tab, you may want to check on your Event Badge and have the proper scan code setup.

 

***You must use the Stova Onsite Code for your badges for the Stova Lead Capture App to work.***

 

Enter the names of up to 3 people as the Event Contacts. These should be the names of people who will be onsite at the event able to assist Exhibitors with Lead Retrieval. This is a critical part of your set up. 

Return to the Reports tab to check in and find information as Exhibitors purchase licenses.
